The Challenge

Aggregators managing corporate vehicle fleets across multiple cities had no centralized system connecting fleet owners, service workshops, and internal administrators. Bookings, estimate approvals, and billing were scattered across phone calls, spreadsheets, and paper job cards — making it nearly impossible to track a vehicle's servicing status in real time or reconcile billing accurately across dozens of workshops and corporate clients at once.

Fleet owners had no visibility into where their vehicle was in the servicing process, and workshops had no structured way to submit estimates or manage a growing queue of jobs efficiently.

Furthermore, the solution required mobility. Service center mechanics working on the garage floor and fleet drivers constantly on the move could not rely on desktop web portals. They needed robust mobile applications that could handle media uploads, real-time push notifications, and complex status tracking seamlessly on the go.

Finally, data security and system reliability were major concerns. With sensitive corporate client data spread across unsecured spreadsheets and disjointed legacy systems, the aggregator faced constant risks of data loss and compliance violations during audits.

The Solution

Web platform

Toadster built a centralized web platform featuring two role-based portals. The Admin Portal gives aggregator staff full control over clients, workshops, bookings, billing, and access tiers. The Client Portal provides fleet owners a dedicated space to manage their vehicles, service history, and approvals. Built with React, TypeScript, and Vite, the frontend leverages Redux Toolkit and TanStack Query for state management, while a Python FastAPI backend powers the dense operational data tables.

Mobile apps

Two React Native Expo apps cover the vehicle servicing lifecycle. The Fleet App allows client teams to create bookings, upload media, and approve workshop estimates with full visibility into job status. The Workshop App empowers service centers to receive bookings, adjust catalog services, set pricing, and manage their queue. Both apps support offline-first capabilities and walk-in customer job cards.

The shared backend API integrates seamlessly with Expo Router, secure credential storage, and Firebase push notifications, ensuring real-time booking alerts and smooth native interactions across all stakeholder platforms.
